SC2001 Industry Exhibitor Registration Policies & Procedures
NOTE: This page should only be used by the authorized booth representative from exhibiting organizations
Please register your booth workers in advance for SC2001 by completing the Exhibitor Staff Badge registration form found in the exhibitor kit (which will be mailed to booth coordinators on or around August 15th) then mail or fax it to the IEEE Computer Society no later than Friday, October 12th with payment. You may also use the online registration form linked at the bottom of this page. After you submit your original registration form, use the update form to add any additional, substitute or cancel exhibitor staff. Do not submit the same name twice. After October 12th, your list must be presented on-site. Badges ordered on-site are not guaranteed to be ready prior to 5:00pm on Sunday, November 11th. Please note that credit card information is required on this form. Forms submitted without credit card information will NOT be processed.
Extra Staff Badges
Once you have exceeded your badge allowance, you must purchase additional exhibitor staff badges for $100. Your allowance is five staff badges for each 10x10-sq. ft. of your booth. Once the allowance is exceeded, we will collect this fee after the conference. ALL Staff badges must be authorized by your exhibits coordinator… we must have contact information to reach your exhibits coordinator 24/7! Please provide this information on-site at the Exhibitor Assistance booth at Registration when you or your on-site coordinator arrives.
Written confirmation for advance registration will be mailed via postal mail to individual exhibitors by the IEEE Computer Society within ten days of receipt of your registration. If you do not receive confirmation after 14 days, please call IEEE Registration Services 202-371-0101. (Housing confirmation is done by the Denver Convention and Visitors’ Bureau.)
Technical Program Registrants who are also Exhibitors
If anyone from your company registers for the Technical Program, your exhibits coordinator may authorize them to receive an exhibitor ribbon, if they will also be staffing your booth. No staff badges will be printed, only ribbons will be distributed to these people, and only after they have completed their Technical Program registration first and have the exhibits coordinator’s authorization. Those ribbons will not count against your total allocation of staff badges.
Complimentary Technical Program Registration
Each industry exhibitor receives one complimentary Technical Program registration. (This does not include tutorial passport registration) This special registration form is included in the exhibitor kit and must be received by the registration office by Friday, October 19th if mailed or it may be presented on-site.
Exhibits Only Badges
Exhibits Only Badges ($80) allow entrance to the exhibit floor for one of the three days of the exhibition: Tuesday, Wednesday, and Thursday. Exhibits Only Badges will go on sale Tuesday morning at 7:30am. SC2001 will sell Exhibits Only Badges to children 12-16; they must be accompanied by an adult at all times. Children under age 12 are not permitted on the exhibit floor at any time.
Note: Complimentary Exhibits Only Badges are intended for use by your clients! Exhibiting companies employees submitting these forms on-site will be charged $80 per person. Industry Exhibitors will receive 50 guest forms for each 10x10 booth purchased.
Cancellations and Substitutions
Written requests for cancellations and substitutions will be processed. Please make every effort to meet the registration deadline of Friday, October 12th with your preliminary list. A limited number of cancellations and substitutions are expected after October 12th and will be processed upon receipt. Cancellations are subject to a $25 processing fee. No-shows are billed in full.
